Facilitating Online Cell Meetings
- Make sure all cell members are in a quiet area free from unnecessary distractions.
- Get ready to start the meeting 5 minutes before the meeting so you can begin on time.
- Encourage everyone to have their camera ON.
- Ask people to put their mic on MUTE when they are not sharing, to reduce feedback and background noise.
- Don’t interrupt people when they’re speaking (or attempt to speak over them).
- Don’t work on other tasks (like checking email) during the online meeting.
- Practice common courtesy – people want to be heard, seen, respected during an online meeting.
- Start the meeting by connecting casually, asking how everyone is doing.
- Call on people by name so they know when it’s their turn to speak.
- To ensure you don’t miss anyone, make sure you have a paper with everyone’s name on it and keep track of who you have called on.
- Most screens can’t show everyone in the meeting so don’t rely on what you see.
- In smaller meetings (less than 5 people), you may be able to ask a question and wait for a reply without calling names but be prepared to call names if some are not sharing.
- Remind people to turn on their mics when sharing and turn off when listening. It may take a bit to get the hang of it so remind your group often, especially if you hear background noise/feedback.
- Encourage people to speak loudly so that they can be heard.
- You can use hand signals to determine things. For example, you can ask “If you can hear me, give me a thumbs up signal.”
- When asking questions, make sure to ask only ONE question at a time. Then call on people by name, giving them each a chance to respond.
- If people in your group are nervous about an online meeting, suggest that they try connecting with you 1-on-1 first to ensure that the software is working. It is impossible to troubleshoot technology while in the middle of a meeting, so this also ensures that you can ensure everything is working ahead of time.
- Sometimes people’s Wi-Fi signal may cause the video to lag or be grainy. Don’t worry about that. We can’t control the internet speed – often they can still hear and speak and its only video that’s struggling.
- Take attendance the regular way that you would if your cell was meeting normally.
- If you have more than ten people, you may want to consider doing some parts of your cell together as a large group and then break into smaller groups for deeper sharing and prayer at the end.
- End the meeting on time. Usually an hour is enough if you are keeping on topic.
